BidProof

Terms of service

The terms on which BidProof is provided. Last reviewed 29 October 2026. Questions to info@thinktribal.com.

Who provides BidProof

BidProof is provided by ThinkTribal Limited, registered in England and Wales, company number 12116434, registered address AvenueHQ, 10-12 East Parade, Leeds, LS1 2BH ("ThinkTribal", "we", "us"). "You" means the person using BidProof and the organisation they use it for. By creating an account or using BidProof you accept these terms on behalf of yourself and that organisation.

Where your organisation has a signed order or subscription agreement with us, that agreement sets the fees, the term and any service commitments, and takes precedence over these terms where they differ.

Your account

Keep your password and your authenticator app to yourself; each person needs their own account. Tell us at once at info@thinktribal.com if you think someone else has used your account. Your organisation's owners and admins decide who belongs to it and what role each person has.

Your content

Your organisation owns what it puts into BidProof, such as its answers, evidence and packs, and is responsible for its accuracy and for having the right to use it. You give us permission to store and process it only to provide BidProof to you, as set out in the privacy notice. We delete it within 30 days of the contract ending, after offering you an export.

When you share a pack, you choose who receives the link, how long it lasts and which evidence a buyer may download, and you can revoke it at any time.

What BidProof is, and is not

BidProof helps you prepare, evidence and track your bids. It does not give legal or procurement advice, and it does not guarantee that a bid will pass any stage or win. Matches, pre-checks, readiness figures, benchmarks and summaries of the Procurement Act 2023 are aids to your own judgement: each tender's procurement documents, and the law, decide.

Acceptable use

Do not use BidProof to break the law, to upload material you have no right to share, to try to reach another organisation's data, to probe or overload the service, or to resell access without our written agreement. We may suspend access that puts the service or other customers at risk, and will tell you why.

Availability and changes

We work to keep BidProof available and secure, but cannot promise it will never be interrupted. We improve BidProof over time and may change or retire features; we will tell you in good time before removing anything your organisation relies on.

Intellectual property

ThinkTribal and its licensors own BidProof, its software, its question library and its design. You may use them only to run your own organisation's bids during your subscription. Partners may propose content for the library; proposals we accept become part of it.

Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited by law. Otherwise, and to the extent the law allows, we are not liable for indirect or consequential loss, for loss of profit, revenue, contracts or goodwill, or for any outcome of a tender, and our total liability in any year is limited to the fees your organisation paid us for BidProof in that year.

Ending your use

You can stop using BidProof at any time, subject to any term in your organisation's agreement. We may end access for a serious breach of these terms. On ending, your organisation can export its content before we delete it.

Changes to these terms

We may update these terms, and will show the date they were last reviewed at the top. If a change materially affects your organisation, we will tell its owners before it takes effect.

Law

These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
